We are committed to protecting your privacy in accordance with the new General Data Protection Regulation. For this reason, we have developed a new policy to help us with the guidelines we need in our daily work and to make it clear to our customers and suppliers how we protect and store your personal data. An updated version of this policy will always be available on our website.

Who is responsible for your personal data?
Polena Rederi AB (556372-5943), Pepparvägen 34, 123 56 Farsta is the data controller for the processing of personal data.

What do we collect?
When you make a booking with us via our website or by phone, we register you as a customer. If you sign up for our newsletter, you will also be registered. How much we record depends on the type of customer you are. What we record on a private individual is usually less than what we record on a business customer. This is because a business booking is usually paid by invoice and requires more information than a cash payment on board.

For a private person, we register at most name, address, phone number, email address, the preliminary order value, number of guests, any drinks to be prepared, food preferences (not linked to a specific person), any food allergies (not linked to a specific person), preferences for table placement and whether the person making the reservation wants it to include a birthday, wedding anniversary or the like in the reservation.

For a corporate client, we record at most the name of the contact person, name of the company, organisation number, address, billing address, cost centre, reference person, telephone number of the contact person, telephone number of the company, number of guests, any drinks to be prepared, food preferences (not linked to a specific person), any food allergies (not linked to a specific person), table seating preferences and whether the person making the booking wants the booking to include a birthday, wedding anniversary or similar celebration.

Where is your personal data stored?
The information we collect (see above point) is stored only in Sweden. At present, all this information is only stored locally on the company’s servers and there is no possibility of accessing this data from outside.

So why do we store this data?

• To register your booking(s)
• To manage your booking. Ordering food. Staff planning. Planning our activities in general.
• In order to contact you regarding your booking.
• To fulfil our obligations to the Swedish Transport Agency. Passenger list with contact details of the person who made the booking and the number of passengers on board the vessel.
• To make it easier to process your next booking, we will save your address, email address, name and telephone number.
• We send out information about upcoming events on board the company’s ships, promotions and discounts. We never share email addresses with third parties.

How long do we keep this data?
We will keep your data for as long as necessary to fulfil the above reasons.
In cases where the law requires us to store this data for longer than is necessary for our operations, Polena Rederi AB will of course comply with the applicable laws.

What are my rights?
You have the right to request information about the personal data we hold about you in writing at any time. If this information is inaccurate, you can ask for it to be corrected. You can always request to have your personal data erased. The personal data that we are required by law to keep cannot be deleted. If you would like an extract of what we have recorded about you, please contact us by letter or email.

All those registered with us have the right to:

• Get information about the processing of personal data in the context of data collection.
• To obtain, free of charge (once a year), on request, access to the personal data registered with us.
• Have inaccurate personal data corrected or completed.
• Withdraw consent to the use of personal data.
• Refrain from targeted marketing.
• Informed of a personal data incident that has occurred, such as a data/security breach.

Who has access to your personal data?
We never sell or exchange your personal data with third parties for marketing purposes.
